Senior Accountant
JOB OVERVIEW
The Senior Accountant is responsible for maintaining accurate financial records and supporting the administrative and accounting functions that keep Pets on Broadway running smoothly. This role ensures the integrity of our financial data, timely reconciliation of accounts, and transparent communication with management and external partners.
As part of the administrative team, the Senior Accountant provides essential support to store leadership by organizing financial workflows, identifying discrepancies, and helping maintain a clear financial picture for the business.
CORE RESPONSIBILITIES
- Accounting & Financial Operations
- Maintain accurate and up-to-date books in QuickBooks Online
- Reconcile bank, credit card, and POS (Epicor Eagle) accounts
- Record daily sales, deposits, and vendor invoices
- Track and record expected vendor reimbursements, promotional credits, and customer refunds
- Manage accounts payable and accounts receivable
- Verify expense allocations and maintain organized digital records
- Reconcile monthly statements and investigate discrepancies promptly
- Support end-of-month and end-of-year reporting
- Payroll & Benefits Support
- Assist with payroll preparation, ensuring accuracy of employee hours, benefits, and deductions
- Maintain PTO and benefit tracking spreadsheets
- Communicate with management and HR to confirm payroll details before processing through ADP RUN
- Compliance & Documentation
- Maintain organized and secure physical and digital financial records
- Ensure transactions comply with company policy and accounting best practices
REQUIRED QUALIFICATIONS AND SKILLS
- 7-10 years of experience in accounting for a small business, retail a plus
- Highly self-motivated, detail-oriented, and dependable
- Strong time management and prioritization skills
- Excellent communication and problem-solving abilities
- Proficiency in QuickBooks Online, Google Workspace, and Excel or Sheets
- Understanding of basic accounting principles and GAAP
- Ability to work independently while maintaining collaboration with store management
- Consistent accuracy with confidential financial information
DESIRED QUALIFICATIONS AND SKILLS
- Experience with Epicor Eagle or similar POS/inventory systems
- Familiarity with retail accounting and cost of goods sold (COGS)
- Prior experience assisting with ADP RUN payroll
PHYSICAL AND MENTAL REQUIREMENTS
- Regularly required to sit and perform computer-based work for extended periods
- Occasionally required to lift and carry boxes of files or documents (up to 20 lbs)
- Frequently required to communicate clearly by phone and email
- Frequent use of hands and fingers for data entry, filing and handling documents
- Regularly required to apply analytical thinking
- Required to work in proximity with a variety of animals (including dogs, cats, birds, reptiles, and small mammals) while potentially exposed to dust, dander, and other allergens.
- Consistently required to stand, reach, grasp, twist and turn, talk, listen and hear, use telephone and walkie-talkie, and make repetitive motions with hands and feet.
- Frequently required to walk, stoop, bend, kneel/squat, fine finger manipulation, and push/pull.
- Occasionally required to climb ladders.
- As needed, the position may require sitting, crawling, driving, and climbing stairs.
- Consistently required to use near and peripheral vision, in addition to depth perception.
WORK ENVIRONMENT
Work is primarily performed on-site in the Portland location of Pets on Broadway, but may also include visits to the Hillsboro location and Portland warehouse.
